SECRETARY FOR COMMERCIAL DEPARTMENT - JAKARTA
Overall Purpose
This position will directly report to Head of Commercial Department. Provide effective and efficient administrative support on Commercial matters to the Commercial Management, including collation of data for Commercial reports, ensuring deadlines are complied for submission of Commercial reports and other documentation. Ensures day-to-day Commercial related matters are carried out systematically and meticulously.
Main Responsibilities :
Organise meetings or conferences when held locally, acting as secretariat and liaison-in-charge.
Assist the Head of Commercial in the preparation of notes/materials for meetings. Prepares slides for presentation, which requires some individual judgement and creativity.
Manage Head of Commercial’s office in his/her absence, and ensures all matters requiring the Head of Commercial attention are redirected with discretion and attended to meticulously.
Any other Commercial-related duties and tasks assigned by the Head of Commercial.
Provide regular written and verbal report translation to and from Head of Commercial.
Organise and minute monthly Commercial Meetings. Plays key role in organization and/or coordination of other key or large-scale Commercial or company events e.g. Commercial conference, recreation activities, family days, visitor lunches, etc.
Assist the other commercial team.
Provide basic analysis of Commercial -related data and information under the instructions of the Head of Commercial.
Travel and accommodation arrangements for participants, liaison with relevant hotels and overseeing various logistics arrangements.
Collate data for Commercial reports (both country and regional) and other required documentation, ensuring deadlines are complied for submission of Commercial reports and other documentation.
Organise and maintain an up-to-date filing system that provides quick and efficient reference
Coordinate with other departments’ coordinators to ensure that administrative office information and procedures are updated and complied with efficiently.
Process new CAAs and Purchase Requisitions for Commercial Dept’s investments.
Administer incentive programs such as staff awards, loyalty points, sales lead, etc.
Incumbent has no direct reports and authority over country line and functional personnel. Nevertheless he/she must be able to demonstrate ability to influence decisions/actions.

Requirements
1-2 years experience in an administrative and support role
Bachelor Degree from any major
Typing skills (at least 30 wpm preferable).
Time management skills
Software skills (Word, Excel, PowerPoint, etc.)
Communication skills, spoken and written
