Responsibilities: 

Providing full secretarial support to the Director

Arranging and booking travel, accommodation and compiling itineraries and preparing travel allowance. (Good relationship with Embassies/Consulates can be an added advantage)

Handling work visas and other important documents.

Organizing meetings and conference calls including inviting attendees.

Preparing of MS Word, PowerPoint and Excel documents, including letters, meeting notes, reports and presentations.

Monitor /Scanning the incoming  email.

Requirements:

Candidate must possess at least a Diploma, Bachelor's Degree, Secretarial or equivalent.

Education Background in Human Resource Management, Linguistics/Languages, Logistic/Transportation, can be an added advantage.

Preferably persons specializing in Secretarial/Executive & Personal Assistant or equivalent, who are experienced in working with expatriates.

Strong administration skills, Ability to understand the job and prioritize the responsibilities according to importance, ability to effectively communicate in English.

Self-motivated with a "can do" attitude.

Responsibilities:

As a Certification Body reviewing other companies' Quality Systems, it is imperative that the administration activities of SGS Indonesia must, at all times shall be in accordance with documented “Global Procedures”

Reporting to :

Scheduling Supervisor SSC Operation Manager

Specific responsibilities :

Schedule Arrangement

Follow up schedule arrangement for those new clients that has not been audited including arrangement for auditor/technical staff to conduct document review

Follow up schedule arrangement for on-going maintenance visit of existing clients base on Master Due Date list given by Scheduling & Planning Supervisor/KAE/Operation Manager, including surveillance, recertification, extension to scope and other necessary schedule such as vendor audit are audited within timely manner according to their due date

Follow up schedule arrangement for Assessment according to date request in AP3 received by Scheduling and Planning Supervisor

Preparation and sending “Schedule Confirmation letter” to client including surveillance, assessment, renewal, extension to scope and other necessary schedule such as vendor audit

Follow up written approval from clients for audit schedule including surveillance, assessment, renewal, extension to scope and other necessary schedule such as vendor audit

Handling schedule arrangement for any request from SGS affiliates

Planning audit for each job with accurate allocation of auditor related with technical qualification of auditor and product qualification of auditor

Control of Report :

Follow up report submission within time frame from auditor

Follow up action plan submission from client

Submit accurate report to Accreditation office in timely manner

First line contact with internal and external customer

Maintain correspondences with :

External customers (clients)

Internal customers such as : Technical staff/auditor, Commercial team, SSC managers and other SGS’ affiliates (SGS United Kingdom Ltd, SGS Australia, SGS China and other SGS affiliates)

Administration and reporting

Maintain and update CERTNET database in timely manner for schedule arrangement including concession, suspension and cancellation

Maintain and update CERTNET database in timely manner for report processing

Maintain and update data in server including final confirmation from client

Maintain and update data in “Master due date Monitoring”

Maintain all correspondence with SGS affiliate for any format required such as waiver etc.

Maintain & update auditor’s replace day and vacation report timely

Requirements:

Profile

Minimum S1 graduates

Three years working experience, two of which as administration or secretary for a senior executive

Customer focused individual with lots of initiative.

Must be able to work independently without immediate instructions or direct and constant supervision.

Self starter, independent worker.

Able to handle confidential information.

Open minded to continuous improvement. Willing to contribute with ideas and recommendations.

Team player.

Able and willing to expedite issues with other staffs from other departments including technical staff, finance also other managers in SGS when it is felt that inaction could result in reduced satisfaction of customers (internal and external)

Skills

Fluent Bahasa Indonesia and English (verbal, written and comprehension)

Additional training courses in administration

Has adequate knowledge and understanding on global harmonized procedure

Has a good skill in analyzing data for supporting the business

Has a good knowledge and understanding Spreadsheet software (Lotus, Excel, or equivalent)

Has a good knowledge and understanding other Microsoft software such as Microsoft office

Has a good knowledge and understanding on CERTNET application and implementation
